12: Virtual Events Technologies to sustain your events and your business

Summary

First off, a warm and very virtual HAPPY MOTHER’S DAY to all of you mothers out there! Today is a day for honoring all the women in our life who support and nurture us, from our sisters to our grandmothers to our mothers-in-law.  Mothers, in any form motherhood, might have taken for – you deserve to be celebrated especially during times such as these! Let’s take a moment to stop and reflect on all of the hard work our mothers do!

COVID-19 has been devastating for most small businesses, including my own. For most event organizers, promoters, music venues, and entities in the live events industry this virus has been a complete “show stopper.” Tens of thousands of live events have been shut down and nobody knows how long they live event’s ban will last. Event Organizers are faced with an unprecedented crisis that is affecting every city and every state in the United States, and worldwide. The coronavirus is forcing us to make tough decisions on a daily basis.

I will be talking about some of those decisions during today’s Podcast Episode and provide a few tactical steps that can be taken right now to help ensure the long-term survival of our events and our businesses.  Right now is the time to learn something new, embrace the new way of doing events, learn the technology behind it, make an investment in this new knowledge which will pay the best interest long term.

11: Coronavirus Chronicles and what can be done about it

Summary

Four weeks indoors as a family can make a few things clear. You will know if your marriage is stable and if you truly love your children. You will know if you can keep yourself occupied for a lot of hours. You will also know for certain if you love or hate puzzles, science projects and board games.  I always had a feeling I hated puzzles, but was not 100% sure of that until recently. I am now certain; I despise them.

All jokes aside, the reality is, we are all struggling to deal with the recent outbreak of COVID-19 virus, which will have both short- and long-term impact, and moving forward with scenario planning for a range of uncertainties pertaining to the proceeding and recovering in the months and even years ahead.  When facing uncertainty or crisis, identifying reliable and timely sources of information is critical to making responsible decisions.  And I totally understand how this is a stressful time for everyone and people want to know what they can do now to protect themselves and their families. In this episode, I will be talking exactly about that and sharing a bit of my experience in the quarantine.

10: How to prepare for a successful trade show event – IBL Events

In this episode, I have the honor of interviewing in real life, Anna Marie Aldinger, the president, and owner of IBL Events, one of the largest producers of consumer trade shows in Idaho.

We will cover topics such as personal strategies to handle multiple projects at the same time, tips to overcome event stress, the type of return an exhibitor should expect from a trade show, how to create a visually appealing booth, marketing tactics to ensure success before and after exhibiting at a trade show and of course, the growing concerns about the spread and impact of the COVID-19 virus (aka coronavirus) and the type of precautions a meeting professionals should take, if and when should they cancel their event and the type of plan that should be in place not just for the organizers but also for venues, keeping attendee’s health and safety on top of mind.

09: Questions to ask your AV Provider/Partner

Summary

In this episode I will be talking about ways of getting the most out of your AV partner,  I will be discussing AV RFPs or proposals, what it takes to hire an AV supplier or vendor and what questions would you be asking when partnering with a new AV provider.

While AV provider is used quite a lot in the industry, I like to refer to this title as AV partner, because what you really want out of this relationship is a partnership, you want someone that will have your back and look out for you, will understand your vision, will work tirelessly towards accomplishing your goals, and will basically provide more than just AV.

Remember, you’re hiring a provider to manage a significant portion of your event for you. If you don’t trust them as your partners then they’re not the right fit for you. A true partner will offer input based on their experience & expertise, even in areas that they’re not technically being “paid” to oversee, and that simple act can make a world of difference in the outcome of your next event because you should be looking for more than just an equipment provider. This will be a great topic for any event planner and professional that finds themselves in the position to create such new partnerships and relations. 05: Five Tips for staying healthy during the busy Event Season [BONUS]

Summary

The levels of stress an event professional goes through are pretty incredible. CareerCast made event planning the 4th most stressful job of the year. 4th most stressful, right after Airline Pilots, Police officers and broadcasters. I mean, some days it feels like I’m landing the plane if know what I mean and some days I just ain’t with how much stuff is going on. Newsflash: stress levels this high are not good for you! 

While everybody in the industry (me included) goes through this especially during our busiest of seasons when we’re not just planning and producing one event, but many back to back events we all seem so focused on our work and tend to forget about the body that keeps everything going. I come to you today to have a conversation about Best Practices for Sound, Video, Graphics and Lighting for Events because rarely would you plan an event these days that doesn’t require the use of some form of AV and Lighting. I won’t dive too deep into Sound as I did during my last episode, but I will spend some extra time towards the end on Lighting and how used strategically, it influences how we think and feel, so stay tuned for some insight and a better understanding on how we innately respond to lighting cues and how specific colours can create specific, immediate human responses!

03: The makings of good Sound for meetings and events

Summary

In the spirit of understanding each other better, let’s start with the importance of good event sound in a venue for meetings and events, the equipment that you should have at a minimum and what are some of the common problems when it comes to sound.

So here’s a true fact that many of you might disagree with: Hearing someone speaking at an event is more important than seeing them.

Think about it for a moment. If you’re sitting in the audience at a sales meeting and there’s a problem with the slides, it may not be ideal, but the speaker can still deliver his presentation and hopefully carry their point across.

If you’re attending a fundraising event and the benefit auctioneer can’t be heard, not only would that be very frustrating but they literally can’t do their job effectively and you just lost thousands of dollars in possible donations.  If the sound is garbled, not clear, distorted or not eq-ed properly bidders won’t bid. As simple as that.

So, what does EQ-ing mean? 

What’s up with watts? What is a watt? What is an SPL and why is it all this important?

What is one rule of thumb when it comes to loudspeakers to audience ratio?

What is a time alignment processor and why do you need one?

What is the other one most important ingredient in the making of good sound for your events?
